You should raise a Helpdesk ticket at the 'DDT/ToO Requests' department, filling in the form which is available there, and attach the cover sheet, PDF and AOR files corresponding to your DDT or ToO proposal to the ticket. The PDF file should follow as much as possible the same structure used for the submission of normal proposals in the latest OT2 Call and we recommend that you use the same PDFLatex file that was used for the OT2 Call; this can be downloaded at:

In parallel, we recommend you to physically submit your proposal to the HSC using the latest version of HSpot and selecting the DDT or TOO programme as applicable (from the drop-down menu in HSpot).
The received proposal will undergo a technical assessment,including duplication checking and a feasibility analysis of the submitted AORs by our local instrument experts, as well as a science evaluation by the Project Scientist in consultation with the HOTAC chair.
A decision (positive or negative) will be taken within a few days (even less for very urgent observations) for ToO proposals where speed is essential and will be communicated to you using the same Helpdesk ticket channel. For DDT proposals and non-urgent ToO requests the response will usually be communicated in 2-3 weeks. The initial technical assessment includes an assessment of the urgency of the request and the feasibility of the required response time, so this should be made clear in the proposal if a fast turnaround is important.
